Ticket received acknowledgement templates
An acknowledgement email is only useful if it says something an auto-responder can't: who has the ticket, when they'll reply, and what the customer can do in the meantime. This template is for the human acknowledgement you send when a ticket needs real work, such as a bug investigation or a billing check, and you want the customer to stop wondering.
;cs-got-it;cs-got-it in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
For a chat where you need a few minutes to check something.
For a message that arrives late on a Friday, so the customer knows Monday is the plan.
When to use it
- The ticket needs investigation and the real answer will take hours or days.
- Your help desk's automatic acknowledgement is generic and this customer deserves more.
- A message arrives just before you sign off.
What to avoid
- Don't send this when you can answer in the next few minutes. Just answer.
- Don't promise a time you can't keep. {day} means today; change it if you need longer.
- Don't send it on top of an auto-responder that says the same thing.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- Customer name
{fill:Customer name} - Their first name.
- Topic
{fill:Topic} - What the ticket is about in a few words, e.g. "the export error".
- Weekday
{day} - Inserts today's day of the week, for example "Tuesday".
- Interim tip
{fill:Interim tip} - Something useful they can do now, e.g. "you can download your data from Settings > Export while I look."
- Your name
{fill:Your name} - Your first name.
Tips
- •The interim tip is where this beats an auto-reply: a workaround, a status page link, or a setting to check.
- •{day} inserts today's weekday, so "by the end of the day on Tuesday" is always right without a calendar check.
- •If your chat tool is a desktop app, per-app snippets can put the chat variant on the same trigger there.
Works in Zendesk, Help Scout, Front, Intercom and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Agree a team-wide response promise and keep it in the shared snippet, so nobody promises "within the hour" on a day you can't deliver it.

What should a support acknowledgement email say?
Who has the ticket, when they'll reply and anything the customer can do meanwhile. If it only says "we got your message", let the help desk's auto-reply do that job.
How fast should you acknowledge a support ticket?
Within your published response time, ideally within the same working day. The acknowledgement matters most when the full answer will take longer.
