Executive email signature templates

Executive signatures work best when they're understated. The title does the work, so there's no need for a quote, a photo or five links. This template keeps your name, title and company, then routes scheduling to your assistant or chief of staff, which is what most people emailing an executive actually need. A shorter internal version keeps company-wide email from feeling formal.

Template;sig-exec
Full name Job title, Company Scheduling: Assistant name, Assistant email
Then type ;sig-exec in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For company-wide and team email, where a full signature feels distant.

Internal
First name

For board members and investors, who need a direct line.

Board and investor
Full name Job title, Company Direct phone

When to use it

  • External email to partners, customers and press.
  • When an assistant handles your calendar and should be the scheduling contact.
  • All-hands and team email, using the internal version.

What to avoid

  • Don't add a quote or personal motto.
  • Avoid listing your direct phone on email that might be forwarded widely.
  • Don't use a different title format from the one on your company website.

Tips

  • •Assistants can install the same layout and send on your behalf; pair it with the reply-on-behalf template for that.
  • •Make the internal version a per-app snippet in Slack and Teams, and keep the full one for Mail and Outlook.
  • •If your title changes, update it in one place in Retext and every version that uses it is right.

Works in Outlook, Mail, Slack and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Leadership teams can keep the company line in a team snippet they create, such as ;sig-company, and each executive's signature has their own name and title plus {snippet:sig-company}, so the company line matches the website and press materials everywhere.

Questions

What should a CEO's email signature include?

Name, title and company, plus a scheduling contact such as an assistant. Less is more: the title already carries weight.

Should executives include their assistant in their signature?

If the assistant manages your calendar, yes. It routes scheduling requests to the right person and saves you replying to each one.

Should a CEO sign internal email with just a first name?

Many do. It reads as approachable, and everyone internally already knows who you are.
