Sales email signature templates

A sales signature should make the next step easy, not advertise. This template gives prospects a direct line and a booking link, so whoever's ready can pick a time without another email. It stays short on purpose: in cold outreach, a long signature full of banners and badges looks like marketing automation and gets skimmed, while a plain one looks like a person wrote it.

Template;sig-sales
Full name Job title, Company Direct: Direct phone Book a time: Booking link
Then type ;sig-sales in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For first-touch email, where less is more and a booking link can feel pushy.

Cold outreach
First name Last name Company

For existing customers who need to know who to call and when.

Account manager
Full name Your account manager at Company Direct phone · Booking link Support, anytime: Support contact

When to use it

  • Follow-ups after a call, where the next step is booking another one.
  • Warm outreach to inbound leads who already know your company.
  • Account management email, where customers need a direct line.

What to avoid

  • Don't add a banner image or promo. Image-heavy signatures are a common spam-filter signal.
  • Avoid a booking link in the very first cold email. Earn the reply first.
  • Don't list your title as "Sales". "Account Executive" or the team you serve tells the prospect more.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

Your name as you introduce yourself on calls.
Job title{fill:Job title}
A title that tells the prospect what you do for them, e.g. "Account Executive, Mid-Market".
Company{fill:Company}
Your company's public name.
Direct phone{fill:Direct phone}
A line that rings you, not the switchboard.
Booking link{fill:Booking link}
Your Calendly, HubSpot or Google Calendar booking page.
First name{fill:First name}
Your first name.
Last name{fill:Last name}
Your last name.

Tips

  • •Save the cold-outreach variant under its own trigger, such as ;sig-cold. Most sequencing tools run in the same browser as Gmail, so per-app snippets can't tell them apart.
  • •After adding it, type your own name, phone and booking link over the fields once, so the signature expands finished. Fill-ins ask every time, so keep them only for things that change per email.
  • •Pair this with the follow-up-after-demo template: the signature carries the booking link, so the email body doesn't have to.

Works in Gmail, Outlook, HubSpot, LinkedIn and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Sales leaders can keep the company line and support contact in a team snippet they create, such as ;sig-company. Each rep's signature has their own name and booking link and pulls it in with {snippet:sig-company}, so a new address or support line reaches every rep with one edit.

Questions

Should a sales email signature include a booking link?

In follow-ups and warm email, yes: it removes a round of back-and-forth. In the first cold email, a plain name and company often gets more replies.

Do images in a signature hurt deliverability?

Heavy images and many links can count against you with spam filters, and images are often blocked anyway. A plain-text signature avoids both problems.

How do I keep a sales team's signatures consistent?

Have an admin keep the company line and support contact in a team snippet you create, such as ;sig-company. Each rep's signature has their own name, phone and booking link typed in and pulls the shared part in with {snippet:sig-company}.
