Student email signature templates
When you email a professor or a recruiter as a student, the signature answers the questions they'd otherwise have to ask: which course, what year, and what you're studying. This template lists your degree and expected graduation date in a standard format, and leaves room for one link, a LinkedIn profile or portfolio, for when you're applying for internships or jobs.
;sig-student;sig-student in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
For course email, where your student ID and section help them find you.
For internship and job applications, when you want to be easy to call back.
When to use it
- Emailing a professor or TA about a course, extension or grade.
- Applying for internships, research positions or graduate programs.
- Following up after a careers fair or networking event.
What to avoid
- Don't include your GPA unless an application asks for it.
- Skip the student ID when emailing anyone outside your university.
- Avoid quotes and emoji. They're the first thing an admissions reader will notice.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- Full name
{fill:Full name} - The name on your student record, so staff can find you.
- Degree and major
{fill:Degree and major} - E.g. "BSc Computer Science" or "BA History, minor in Economics".
- Graduation year
{fill:Graduation year} - Your expected graduation year, e.g. 2027.
- University
{fill:University} - The full name of your school.
- LinkedIn or portfolio
{fill:LinkedIn or portfolio} - One link. A short custom LinkedIn URL looks better than the default.
- Course and section
{fill:Course and section} - E.g. "ECON 201, Section 3".
- Student ID
{fill:Student ID} - Only for email to your own university.
- Phone
{fill:Phone} - A number you'll answer for interviews.
Tips
- •Write "Class of 2027" or "Expected May 2027". Both are standard and easy to scan.
- •Keep two versions: ;sig-student for networking and the professor variant for course email, so you never send your student ID to a recruiter.
- •Paste the plain-text version into your university mail's own signature setting as well, so replies sent from the mail app on your phone carry it too.
Works in Gmail, Outlook, Mail and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Careers offices and student societies can share this layout as a pack, so every member applying through the program signs off the same way.

What should a student put in an email signature?
Your full name, degree and major, expected graduation year and university. Add a LinkedIn or portfolio link when you're job hunting.
Should I include my student ID when emailing a professor?
It helps at large universities where staff look you up by ID. Include it for course email, and leave it out everywhere else.
How do I write my expected graduation date?
"Class of 2027" or "Expected graduation: May 2027". Either is standard. Pick one and use it everywhere.
