Retext

Teacher email signature templates

Parents read a teacher's signature for three things: who you teach, when you'll reply, and who to call if it's urgent. This template answers all three. It names your grade and subject, sets a reply window so evening emails don't feel like they're being ignored, and points urgent questions to the school office. It's plain text, so it survives the school's email system and parents' phones alike.

Template;sig-teacher
Title and last name Grade or subject · School I reply to email within Reply window on school days. Urgent? Please call the office: Office phone
Then type ;sig-teacher in any app.

Variations

To colleagues
First name Last name Grade or subject · Room Room

For the start of the year, when families are learning how to say your name.

With name pronunciation
Title and last name (pronounced Pronunciation) Grade or subject · School Urgent? Please call the office: Office phone

When to use it

  • Email to parents and guardians about homework, behavior or events.
  • The start of the school year, when families are new to you.
  • Staff email inside the school.

What to avoid

  • Don't give your personal phone number.
  • Avoid promising same-day replies if you teach a full timetable.
  • Don't use the colleague version with parents: it's missing the urgent-contact line.

Tips

  • •Use the title parents use in class (Ms. Patel, Mr. Okafor) so students and families recognise you.
  • •Set an out-of-office over breaks with the holiday-out-of-office template, so families know when you're back.
  • •If your school uses Google Workspace, paste the plain-text version into Gmail's signature setting and use Retext for the parent-portal message box, which usually has no signature at all.

Works in Gmail, Outlook and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Schools can keep the office number and reply policy in a team snippet they create, such as ;sig-company, so each teacher's signature has their own name and class typed in and pulls the shared lines in with {snippet:sig-company}.

Questions

What should a teacher put in their email signature?

Your name as students use it, grade or subject, school, when you'll reply, and the school office number for urgent matters.

Should teachers include a reply time in their signature?

It helps. A line like "I reply within 24 hours on school days" sets expectations and cuts down on follow-up emails.

Can I use this in our parent communication app?

Yes. Retext types into any text box on your Mac, including web-based parent portals that don't have a signature setting.
