Deadline extension request email templates

Extension requests are granted most often when they come early, propose a specific new date, and show you've thought about the impact on the other person. This template does all three: it gives the reason briefly, offers what you can deliver on the original date, and names a new deadline. It works for managers, clients and instructors.

Template;em-extend
Hi Name, I'm going to need more time on Deliverable, which is due Original deadline. Brief reason I can send you Partial delivery by the original date, and the complete version by New deadline. Does that work for you? If the original date is fixed, let me know and I'll prioritise what matters most. Thanks, [Your name]
Then type ;em-extend in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

More formal, and clear about whether the change affects cost or scope.

To a client
Dear Name, I'm writing to ask for a short extension on Deliverable, currently due Original deadline. Brief reason We propose delivering by New deadline. This doesn't change the scope or the cost of the project. In the meantime, we can share Partial delivery on the original date. Please let me know if this works for you. Kind regards, [Your name]

For coursework, where the request is usually judged on timing and honesty.

To a professor
Dear Name, I'm writing to ask for an extension on Deliverable, due Original deadline. Brief reason Would it be possible to submit it by New deadline? I've completed Partial delivery so far and can share it if that's helpful. Thank you for considering this. Best regards, [Your name]

When to use it

  • As soon as you know a deadline will slip, not on the day.
  • When you can offer a partial delivery on time.
  • Client projects where a delay needs a written record.

What to avoid

  • Don't ask for "a few more days". Name the date.
  • Don't give a long explanation; one honest sentence is enough.
  • Don't ask for a second extension using the same email. Talk to the person instead.

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

Tips

  • •If your standard request is always a week, replace {fill:New deadline} with {date+7}, worked out from the day you send it.
  • •The partial-delivery line is what usually gets a yes; think about what you can genuinely send on time.
  • •For sick days, set the sick-leave auto-reply as well so people aren't waiting on you.

Works in Gmail, Outlook and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Questions

How do you ask for a deadline extension professionally?

Ask as early as possible, give a short reason, propose a specific new date and offer something on the original date if you can.

How far in advance should I ask for an extension?

As soon as you know. Requests made days ahead are far easier to accept than ones sent on the deadline.

Should I explain why I need more time?

Briefly. One honest sentence is enough; the proposed date and partial delivery matter more to the reader.
