Thank you email after a meeting templates
A thank-you email after a meeting is remembered when it's specific. "Thanks for your time" is forgettable; naming the one idea you'll act on is not. This template is built around that single specific line and one next step, and stays under a hundred words. It suits networking coffees, advice calls, partner intros and interviews.
;em-thanks;em-thanks in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
Sent the same day, to each interviewer separately.
For a quick call with someone you talk to often.
When to use it
- After someone gave you their time as a favour: advice, an introduction, a coffee.
- After a job interview, to each interviewer.
- After a first meeting with a new partner or client.
What to avoid
- Don't send a generic thank-you. If you can't name one specific thing, send a short note instead.
- Don't attach a long list of asks to a thank-you.
- Don't wait more than a day; the moment passes quickly.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- Name
{fill:Name} - The person you met.
- Specific takeaway
{fill:Specific takeaway} - One idea, introduction or piece of advice from the meeting, in their words if you can.
- What you'll do
{fill:What you'll do} - The action you'll take because of it.
- Cursor
{cursor} - Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
- Role
{fill:Role} - The job title you interviewed for.
Tips
- •Write the specific takeaway while you're still walking out of the meeting; the template does the rest.
- •Type ;em-thanks before you close your laptop, while the meeting is still fresh.
- •If the meeting produced actions, send the recap separately. Keep the thank-you personal.
Works in Gmail, Outlook and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Questions
What do you say in a thank you email after a meeting?
Thank them, name one specific thing that was useful, and say what you'll do next. Three or four sentences is plenty.
Should I send a thank you email after every meeting?
No. Send one when someone did you a favour or when the meeting was a first. For routine meetings, a recap is more useful.
