Sales call recap email templates
Later-stage calls produce decisions and to-dos, and both sides forget them by Friday. This recap lists what was decided, what's still open, and who does what by when, in a format that's easy to scan and easy to reply to with corrections. It's for any call after discovery: technical reviews, pricing talks, procurement check-ins.
;sl-recap;sl-recap in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
For buyers who've told you they prefer brevity, or for a Slack Connect channel.
When the call surfaced a problem. Names it plainly and proposes a way forward.
When to use it
- After any call where something was decided or assigned.
- Several people from the buyer's side were on the call.
- The call raised a concern you need to address in writing.
What to avoid
- Don't recap the whole conversation. Decisions, open items and owners only.
- Don't assign the buyer tasks they didn't agree to.
- Don't hide a concern from the call. If it's not in the recap, they'll assume you missed it.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- First name
{fill:First name} - Your main contact's first name.
- Decision
{fill:Decision} - What was agreed, e.g. "start with the support team only".
- Open question
{fill:Open question} - What still needs an answer, e.g. "SSO requirements".
- Your action
{fill:Your action} - What you'll do next.
- Date in 2 days
{date+2} - Inserts the date 2 days from today, worked out when the snippet expands. Useful for deadlines and return dates.
- Their action
{fill:Their action} - What they agreed to do.
- Their owner
{fill:Their owner} - Who on their side owns it.
- Date in 5 days
{date+5} - Inserts the date 5 days from today, worked out when the snippet expands. Useful for deadlines and return dates.
- Cursor
{cursor} - Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
- ;sig-work
{snippet:sig-work} - Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
- Concern
{fill:Concern} - The concern they raised, in neutral words.
Tips
- •"Correct anything I've got wrong" invites a reply and catches misunderstandings early.
- •Use the bullets version in Slack Connect channels with a per-app snippet, so ;sl-recap gives you the short one there automatically.
- •Dictate the recap straight after the call: hold the dictation key, say "insert snippet sl-recap" (a beta voice command), then talk through the fill-ins.
Works in Gmail, Outlook, Slack, Salesforce and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
When every rep uses the same recap format, deal reviews get faster: managers read decisions and owners the same way across every account.

What should a call recap email include?
What was decided, what's still open, and each next step with an owner and a date. Keep it short enough that people will actually read it and reply with corrections.
Who should get the recap email?
Everyone who was on the call. If a decision maker was missing, send it to your main contact and offer to forward a version to them.
