Upsell email templates for existing customers
The best upsell is one the customer was about to ask for. This email starts from something you noticed in their usage, explains what changes for them on the bigger plan, and asks a simple yes or no. It reads like account management because that's what it is.
;sl-upsell;sl-upsell in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
When colleagues outside the paid seats are already trying to use it.
When an add-on solves a problem they've mentioned to support or on a call.
When to use it
- A customer is near a usage or seat limit.
- Colleagues outside their seats want access.
- They've mentioned a problem an add-on solves.
What to avoid
- Don't upsell during an open support issue.
- Don't invent a usage signal. Use real data or don't send it.
- Don't upsell right after a price increase.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- First name
{fill:First name} - Your customer contact's first name.
- Usage signal
{fill:Usage signal} - What you noticed, e.g. "your team hit the project limit twice this month".
- Current plan
{fill:Current plan} - Their current plan's name.
- Upgrade plan
{fill:Upgrade plan} - The plan you're suggesting.
- Main benefit
{fill:Main benefit} - The one benefit that matters to them.
- What it changes for them
{fill:What it changes for them} - The practical difference, in their terms.
- Cursor
{cursor} - Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
- ;sig-work
{snippet:sig-work} - Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
- Company
{fill:Company} - The customer's company name.
- Extra seats
{fill:Extra seats} - How many seats to add.
- Problem they mentioned
{fill:Problem they mentioned} - The problem they raised before.
- Add-on name
{fill:Add-on name} - The add-on's name.
- Add-on price
{fill:Add-on price} - The add-on's price.
Tips
- •Lead with the usage signal: it shows you're paying attention, and it makes the email about them.
- •A free trial of an add-on is easier to say yes to than a purchase.
- •The trigger works in your CRM's email composer as well, so you can send it straight from the account record.
Works in Gmail, Outlook, Salesforce, HubSpot and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
If account managers and support both see usage signals, share the upsell template across both teams so the customer hears one consistent message.

How do I write an upsell email that isn't pushy?
Start from a real sign that they're outgrowing their plan, explain the benefit in their terms, and ask a simple question. It should read like advice, not a promotion.
When is the right time to upsell a customer?
When they're near a limit, when colleagues want access, or when they've mentioned a problem an upgrade solves. Avoid times when they're dealing with a support issue.
