How to respond to positive customer feedback

Positive feedback gets the laziest replies in most inboxes, a quick "thanks so much" and done. This template takes thirty seconds longer: it thanks the customer for something specific, tells them who you've shared it with, and optionally asks for a public review in a way that's easy to ignore. Done well, it's the reply that turns a happy customer into a vocal one.

Template;cs-kind-words
Hi Customer name, Thank you, this made my day. What you appreciated I've shared your message with Team or person, who'll be glad to hear it. If you ever feel like saying the same thing in public, a short review here helps other people find us: Review link. No pressure at all. Your name
Then type ;cs-kind-words in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For a quick thank-you in chat or social replies.

Short
Thank you, that's really kind. I'll pass it on to the team.

For feedback that came after a problem, where a review ask could feel opportunistic.

No review ask
Hi Customer name, Thank you for taking the time to write this, especially after the trouble you had earlier. What you appreciated I've passed it on to Team or person. Messages like yours are the best part of the job. Your name

When to use it

  • A customer goes out of their way to say something nice.
  • Someone praises a specific agent or feature.
  • A customer who had a bad experience writes back to say it's now fixed.

What to avoid

  • Don't ask for a review from someone who just had a problem resolved. Use the no-ask variant.
  • Don't pile on multiple asks (review, referral, case study) in one reply.
  • Don't send the short version to a long, thoughtful message.

Tips

  • •Quote one detail from their message in "what you appreciated" so it's obvious you read it.
  • •Actually share it with the team. A shared Slack channel for kind words is good for morale.
  • •Keep the review link in the snippet so it's always the current one.

Works in Gmail, Intercom, Help Scout, Zendesk and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Shared review links go stale when you change platforms. Keeping them in the team pack means one owner edit updates every agent's reply.

Questions

How do you respond to positive customer feedback?

Thank them for something specific, tell them you've shared it, and optionally invite a public review. Keep it warm and short.

Is it OK to ask for a review in a thank-you reply?

Yes, if it's optional and the customer is clearly happy. Skip it when the praise followed a problem, as it can feel like you're cashing in.
