Retext

Refund approved email templates

A good refund confirmation answers three questions before the customer asks them: how much, to where, and when it will show up. This template states all three in the first two lines, keeps the apology to one sentence, and ends without a sales pitch. With Retext the amount and payment method are fill-ins, the order number comes from your clipboard, and the expected date is worked out for you.

Template;cs-refund-yes
Hi Customer name, Good news: I've refunded Refund amount to your Payment method for order Clipboard. Most banks show the money within 5 to 10 business days, so you should see it by Date in 14 days. If it isn't there by then, reply to this email and I'll chase it with our payments team. Sorry this one didn't work out. Your name
Then type ;cs-refund-yes in any app.

Formal
Dear Customer name, This is to confirm that a refund of Refund amount for order Clipboard was issued on Today's date to the original Payment method. Refunds usually take 5 to 10 business days to appear, depending on your bank. Please keep this email as your receipt. If the amount has not arrived by Date in 14 days, contact us and quote the order number above. Kind regards, Your name [Company] Support

When to use it

  • You've already issued the refund in your billing tool and want to confirm it in the same ticket.
  • The customer asked "where's my money?" and needs a date, not a policy quote.
  • A partial refund: change the amount and add one line on what it covers.

What to avoid

  • Don't send it before the refund is actually processed. If it's pending approval, use the refund request reply instead.
  • Don't promise a specific day. Banks vary, so give a range and a date after which you'll chase it.
  • Skip the discount code. A refund email that upsells reads as if you didn't listen.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

Customer name{fill:Customer name}
Their first name, as they signed their message.
Refund amount{fill:Refund amount}
Include the currency, e.g. "$49.00" or "€20".
Payment method{fill:Payment method}
"Visa ending 4242", "PayPal account", "original card". Matching what they see on their statement prevents a second ticket.
Clipboard{clipboard}
Pastes whatever you last copied, such as an order number or a link, into that spot.
Date in 14 days{date+14}
Inserts the date 14 days from today, worked out when the snippet expands. Useful for deadlines and return dates.
Cursor{cursor}
Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
Your name{fill:Your name}
Your first name. Replies signed by a person read as more accountable than "The Team".
Today's date{date}
Inserts today's date in your Mac's long format, for example "March 4, 2027".

Tips

  • •Copy the order number before you type the trigger: {clipboard} drops it in, so you never mistype it.
  • •If you answer chat in a desktop app, per-app snippets can keep the chat version there and the email version everywhere else, on the same trigger.
  • •{date+14} is two calendar weeks, which covers 10 business days. If your refunds take a different time, change it once and every reply after that is right.

Works in Zendesk, Help Scout, Intercom, Gmail and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Put this in a shared team pack so every agent quotes the same refund timing. When finance changes the window, an owner edits it once and every Mac on the team syncs.

Questions

What should a refund confirmation email include?

The amount, where it's going (card, PayPal, store credit), when to expect it, and what to do if it doesn't arrive. Add the order number so the email works as a receipt.

How long do refunds take to show up?

For cards, usually 5 to 10 business days after you issue it, depending on the bank. PayPal and store credit are often faster. Say which applies so the customer doesn't write back on day three.

Can I install this so the date fills itself in?

Yes. Click Add to Retext and the snippet installs with {date+14}, which Retext turns into the date two weeks from today each time you type ;cs-refund-yes.
