Refund denial email templates
Saying no to a refund is where support replies most often go wrong: too much policy, too little explanation, and nothing offered instead. This template gives the decision in the first line, explains the reason in plain words, and then offers the best alternative you have, such as a credit, an exchange or a fix. Customers accept a no far more readily when they can see you looked at their case.

When the reason is simple and the customer has been brief too.
For a customer who has already been told no and is asking again, without new information.
When to use it
- The purchase is outside the refund window or the terms clearly don't cover it.
- You have an alternative to offer: store credit, a replacement, a plan change, extra time.
- A manager has already made the call and you're the one delivering it.
What to avoid
- Don't paste the whole policy. Quote the one line that applies, in plain English.
- Don't blame "the system" or "management". Own the decision on behalf of the company.
- Don't send it to a customer who's already furious. Use the upset customer reply first, then the decision.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- Customer name
{fill:Customer name} - Their first name.
- Clipboard
{clipboard} - Pastes whatever you last copied, such as an order number or a link, into that spot.
- Reason
{fill:Reason} - The specific reason in plain words, e.g. "the order was placed more than 60 days ago" or "the course has been fully completed".
- Alternative offer
{fill:Alternative offer} - What you can do instead, e.g. "a $20 store credit", "swap it for a different size" or "pause your plan for a month".
- Cursor
{cursor} - Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
- Your name
{fill:Your name} - Your first name.
- Date in 7 days
{date+7} - Inserts the date 7 days from today, worked out when the snippet expands. Useful for deadlines and return dates.
Tips
- •The fill-in for the reason makes you write it each time, which is the point: a specific reason is far less likely to trigger an argument than a generic one.
- •Offer the alternative as a yes/no question. It turns a dead end into a next step.
- •If you dictate replies, say the reason out loud first. If it sounds unfair spoken, it'll read unfair too.
Works in Zendesk, Help Scout, Gmail and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Refusals are where consistency matters most. Keep one shared version so every agent gives the same reason and the same alternative, and keep it in the team library, where members with the viewer role can use it but not change it.

How do you politely deny a refund?
Give the decision early, explain the specific reason, acknowledge it's disappointing, and offer an alternative. Avoid legal language and long policy quotes, and keep the tone the same as any other reply.
Should I always offer something when refusing a refund?
Where you can, yes. A small credit or an exchange costs less than a chargeback or a public review, and it shows the refusal was about the rules, not about the customer.
What if the customer threatens a chargeback?
Stay factual, restate the reason and the alternative, and keep a clear record of the conversation. Don't change your answer under pressure unless they've given you new information.
