Retext

Customer service email signature templates

A support signature has two jobs: show the customer a real person is helping them, and tell them where to go next. This template signs with your first name and team, states your support hours so nobody waits for a reply at midnight, and links to the help center for the next question. It's plain text, so it looks the same in Zendesk, Help Scout, Intercom and a plain Gmail inbox.

Template;sig-support
First name Company Support We reply Support hours Help center: Help center link
Then type ;sig-support in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For chat widgets, where a four-line block looks robotic.

Live chat
– First name, Company Support

For email support, when you want the customer to quote the ticket if they write again.

With ticket reference

When to use it

  • Every reply from a support inbox, whatever tool you use.
  • Help desks that don't have a signature setting, or set one per workspace instead of per agent.
  • Teams where agents work different hours and need the hours line to be accurate.

What to avoid

  • Don't sign as "The Team". Replies signed by a named person feel like someone owns the problem.
  • Avoid surveys or promotions in the signature. Ask for feedback after the issue is solved, not on every reply.
  • Don't quote a response time you can't meet on weekends.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

First name{fill:First name}
The agent's first name. Some teams use a consistent support name; first names work better.
Company{fill:Company}
Your product or company name as customers know it.
Support hours{fill:Support hours}
E.g. "Mon–Fri, 8am–6pm ET" or "within 4 hours, 7 days a week".
Help center link{fill:Help center link}
The URL of your docs or help center home page.
Clipboard{clipboard}
Pastes whatever you last copied, such as an order number or a link, into that spot.

Tips

  • •Copy the ticket number before you type the trigger and the ticket variant drops it in with {clipboard}.
  • •Save the chat line under its own trigger. Help desks that run in the same browser tab look like one app to per-app snippets, so they can't pick the version for you.
  • •Many help desks add their own signature. Turn that off before using this one, or you'll sign twice.

Works in Zendesk, Help Scout, Intercom, Front, Gmail and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Keep the hours and help center link in a team snippet you create, such as ;sig-company, and have each agent's signature pull it in with {snippet:sig-company} under their own first name. When support hours change, an admin updates that one snippet and every agent's replies are correct on the next sync.

Questions

What should a customer service email signature include?

The agent's first name, the team or company, your support hours and a link to self-serve help. A ticket reference is useful on email support.

Should support agents use their real name?

Most teams find first names work best: customers feel someone owns their issue. If an agent prefers privacy, a consistent first-name alias is fine.

Does this work inside Zendesk or Help Scout?

Yes. Retext types into any text box on your Mac, including help desk reply editors. Turn off the help desk's own signature first so you don't sign twice.
