Retext

Mobile email signature templates

"Sent from my iPhone" tells people why your reply is short, but nothing about who you are. A mobile signature can do both in two lines: your name and a note that you're on the move, plus a number if they need you sooner. Set it in your phone's mail settings: copy the plain-text version from this page and paste it there.

Template;sig-mobile
First name On my phone, so this is brief. Phone if it's urgent.
Then type ;sig-mobile in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For replies you dictate, where a stray word is more likely.

Dictated
First name Dictated on my phone. Forgive any odd words.

When you're replying to a client from your phone and want your full contact details anyway.

Full details
Full name Job title, Company Phone (sent from my phone)

When to use it

  • Replies sent on the go, when a short answer might seem curt.
  • Dictated replies, where you want to excuse a typo or two.
  • Replacing the default "Sent from my iPhone" line.

What to avoid

  • Don't use it as an excuse for replies that need care. Wait until you're at a desk.
  • Avoid putting your mobile number on email that goes to large lists.
  • Don't keep the phone default as well as this one, or you'll sign twice.

Tips

  • •On iPhone, open Settings > Apps > Mail > Signature (Settings > Mail on older iOS) and clear the default first.
  • •In the Gmail and Outlook phone apps, the signature setting is under Settings; paste the plain-text version there.
  • •On your Mac, keep ;sig-mobile as a snippet for short replies from Messages or Slack.

Works in Mail, Gmail, Outlook and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Agree a mobile format with the team and have each person type their own name and number into it once. Keep the shared ;sig-company line as a team snippet so the Mac version stays the same for everyone.

Questions

What can I use instead of "Sent from my iPhone"?

A short line with your name and a note that you're on your phone, like "On my phone, so this is brief". Add a number if people might need you urgently.

How do I change my email signature on iPhone?

Open Settings > Mail > Signature (or Settings > Apps > Mail on newer iOS), clear the default and paste your new signature. Gmail and Outlook apps have their own signature settings.

Can I use the same signature on my Mac and my phone?

Yes, if you set it in both places. On your Mac, Retext types it with a trigger in any app. On your phone, paste the plain-text version into your mail app's signature setting.
