Short email sign-off templates for replies
Most of your email is replies, and a full signature on the eighth message in a thread is clutter. A reply sign-off is the closing word and your name, nothing more. This template gives you a neutral default and two alternatives for when the tone needs to shift. Keep the full signature for first messages, and use this for everything after.
;sig-reply;sig-reply in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
When the email asks for something, so the close reminds them gently.
For the first reply to someone new, nesting your main signature so you don't keep two copies.
When to use it
- Every reply after the first message in a thread.
- Internal email, where everyone knows how to reach you.
- Quick confirmations and thank-yous.
What to avoid
- Don't use "Thanks in advance" when you haven't asked for anything.
- Avoid "Regards" on its own with people you know well. It reads as cold.
- Don't drop your name entirely in group threads. People need to know who replied.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- First name
{fill:First name} - How you sign off with people you work with.
- ;sig-work
{snippet:sig-work} - Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
Tips
- •The nested version pulls in your ;sig-work snippet, so changing your main signature updates this one too.
- •Add {cursor} on its own line above the closing, then type ;sig-reply before you write: the sign-off goes in and your cursor lands above it.
- •Make it a per-app snippet: "Thanks, Sam" in Mail, just "– Sam" in Slack.
Works in Mail, Gmail, Outlook, Slack and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Share the sign-off layout with the team. The nested version pulls in each person's own ;sig-work, so everyone's details stay their own.

What's the best way to sign off a work email?
"Thanks" or "Best" followed by your first name works for most replies. Save formal closings like "Kind regards" for first contact or formal correspondence.
Should I include my full signature on every reply?
No. Put it on the first message so people have your details, then use a short sign-off for the rest of the thread.
Can a short sign-off include my full signature when needed?
Yes. In Retext, {snippet:sig-work} nests your main signature inside the sign-off, so you keep one copy of your details and use it in both.
