Real estate email signature templates
Real estate signatures carry more than most. In many states, advertising, which can include email, has to name your brokerage and often your license number, and clients want to know your mobile is the fastest way to reach you. This template puts your name and designation first, your brokerage and license on one line, and your mobile ahead of the office number. Check your state's advertising rules for exactly what's required.

The same message for a different channel or tone. Copy the one that fits.
For agents working under a named team inside a brokerage.
For co-op and transaction email with other agents, where your license and brokerage are what they need.
When to use it
- Every client email: listing updates, showings, offers and closing logistics.
- Agent-to-agent email about offers and co-op details.
- When you move brokerages and need every signature updated the same day.
What to avoid
- Don't drop the brokerage name to promote only yourself. Many states require it.
- Avoid a headshot image as your only branding. It's often blocked, and the text still has to do the work.
- Don't include a home-value promo link on transaction email. It reads as spam to a client mid-deal.

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

{fill:Designation} - E.g. REALTOR®, ABR, CRS. Only designations you hold.
- Brokerage name
{fill:Brokerage name} - Your brokerage as it's registered with the state.
- License number
{fill:License number} - Your state license number. Some states also require the brokerage's number.
- Mobile
{fill:Mobile} - The number clients should call or text.
- Office phone
{fill:Office phone} - Your brokerage office line.

- Team name

Tips
- •Write your designation after your name ("Jordan Lee, REALTOR®") only if you're a member of the association that grants it.
- •Keep the agent-to-agent version as a per-app snippet in your transaction management tool.
- •Set the same license line in your phone's mail signature too, so replies from showings carry it.
Works in Gmail, Outlook, Mail and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Brokerages can keep the brokerage name, address and office line in a team snippet they create, such as ;sig-company. Each agent types their own name and license number into their signature and pulls the brokerage lines in with {snippet:sig-company}, so when the address changes, one admin edit reaches everyone on the next sync.

Do real estate agents have to put their license number in their email signature?
It depends on your state. Many require the brokerage name and some require a license number in advertising, which can include email. Check your state commission's rules.
What should a realtor email signature include?
Your name and designations, brokerage, license number, mobile and office numbers, and a link to your listings or profile.
Can I use a different signature when emailing other agents?
Yes. A shorter agent-to-agent version with your brokerage, license and mobile is common. Save both in Retext and use whichever fits.
