Recruiter email signature templates

Candidates check a recruiter's signature to decide whether the email is real. This template shows who you recruit for and what kind of roles, gives a booking link so a candidate can schedule a screen without three emails, and links to the careers page so they can check you out. Keep it tight: a recruiter signature full of badges looks like a mass mailing, which is exactly what candidates are filtering out.

Variations

LinkedIn InMail
First name, Company Talent Booking link

When to use it

  • First outreach to a candidate by email or InMail.
  • Scheduling screens, where a booking link saves a round of email.
  • Agency recruiters who need to explain who they are in one line.

What to avoid

  • Don't include salary bands in a signature. Put them in the message for each role.
  • Avoid generic titles like "Talent Ninja". Candidates search for real titles.
  • Don't link to your personal social profiles.

Tips

  • •Save the LinkedIn variant under its own trigger. LinkedIn runs in the same browser as your email, so per-app snippets can't separate them.
  • •Pair it with the follow-up-email template for the second touch, and keep the booking link in the signature so the body stays short.
  • •If you work with hiring managers, share this template with them as the agreed format, so outreach from either side looks consistent once each person types in their own details.

Works in Gmail, Outlook, LinkedIn and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Talent teams can keep the company line and careers link in a team snippet they create, such as ;sig-company. Each recruiter types their own name and booking link into their signature and pulls the shared part in with {snippet:sig-company}, so candidates see one consistent brand.

Questions

What should a recruiter's email signature include?

Your name, title and company, the kinds of roles you hire for, a booking link for screening calls and a link to open roles.

Should recruiters put a calendar link in their signature?

Yes. It lets interested candidates book a screen immediately and saves several emails per hire.

How do I keep my LinkedIn and email signatures in sync?

Put your booking link in its own snippet, such as ;sig-booking, and nest it in both versions with {snippet:sig-booking}. Change the link once and both update.
