How to decline a meeting: email templates

Declining a meeting is easier when you offer the organiser what they actually need, which is usually your input rather than your presence. This template says no clearly, gives your input in writing, and invites them to come back if they still need you. Its variants cover sending someone in your place and stepping out of a recurring meeting.

Template;em-decline
Hi Name, Thanks for the invite. I can't make Meeting this time, but I don't want to hold anything up, so here's my input: If you still need me there after reading this, let me know and I'll find a way to join. [Your name]
Then type ;em-decline in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

When someone else on your team is better placed or has more time.

Send a colleague
Hi Name, I can't join Meeting, but Delegate knows this work well and will come in my place. I've copied them here. Thanks, [Your name]

For a standing meeting you no longer need to attend every week.

Leave a recurring meeting
Hi Name, I'm going to step out of the weekly Meeting so I can focus on Your priority. I'll keep up through the notes, and I'm happy to join any week you need me for a specific item. Just tag me in the agenda. Thanks for understanding, [Your name]

When to use it

  • Invites where your input matters but your attendance doesn't.
  • Clashes where a colleague can attend instead.
  • Recurring meetings you've outgrown.

What to avoid

  • Don't just click Decline without a note on meetings where people expect you.
  • Don't invent a conflict. "I can't make this one" is enough.
  • Don't send a delegate without asking them first.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

Name{fill:Name}
The meeting organiser.
Meeting{fill:Meeting}
The meeting's name, e.g. "Thursday's roadmap review".
Cursor{cursor}
Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
Delegate{fill:Delegate}
The colleague going instead, who has agreed.
Your priority{fill:Your priority}
What you're focusing on instead, in a few words.

Tips

  • •The written-input version often makes the meeting shorter for everyone else, which organisers appreciate.
  • •In Outlook or Google Calendar, paste this into the decline note rather than a separate email so it stays with the invite.
  • •If the problem is the time rather than the meeting, use the reschedule template or Outlook's propose-a-new-time note.

Works in Outlook, Gmail and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Questions

How do you politely decline a meeting?

Say you can't make it, offer your input in writing or a colleague in your place, and leave the door open if they still need you.

Do I need to give a reason for declining?

No. A clear no with something useful attached is more helpful than a reason.
