Reschedule meeting email templates
Moving a meeting is routine; making the other person do the work of finding a new time isn't. This template apologises once, offers two new times, and keeps the original purpose so nothing gets lost. Its variants cover a same-day change and replying when the other person asks to move.
;em-resched;em-resched in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
Same-day changes, where a quick, direct message is kinder than a polished one.
Replying to someone else's reschedule request, quickly and without fuss.
When to use it
- Moving any meeting with more than a few hours' notice.
- Same-day changes where you need to let someone know immediately.
- Accepting someone else's request to reschedule.
What to avoid
- Don't move the same meeting twice without acknowledging it; offer to fit fully around them the second time.
- Don't over-explain the reason.
- Don't change the calendar invite before telling the person.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- Name
{fill:Name} - The person you're meeting.
- Meeting
{fill:Meeting} - The meeting, e.g. "call about the proposal".
- Original time
{fill:Original time} - When it was booked, e.g. "Thursday at 3pm".
- Option one
{fill:Option one} - A new slot.
- Option two
{fill:Option two} - A second new slot, or a range like "Friday afternoon".
- Time today
{fill:Time today} - The original time today, e.g. "2pm".
Tips
- •Use the short-notice version in Slack or Messages on your Mac: the same trigger works there as in email.
- •Include the time zone when the other person is somewhere else.
- •If you reschedule often, put your booking link in the options so they can pick directly.
Works in Gmail, Outlook, Slack and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Questions
How do you politely reschedule a meeting?
Apologise once, offer two specific new times, and say you're happy to fit around them. Update the invite only after they confirm.
How much notice should I give when rescheduling?
At least 24 hours where you can. For same-day changes, message directly as soon as you know, by chat or text if they might not see email.
