Teams meeting invite message templates

When you click Teams meeting in an Outlook invite, Outlook adds a block with the join link (and dial-in details, if your organisation has them) to the body, and most invites go out with nothing else. Attendees then arrive not knowing why they're there. Two lines above the link fix it: what the meeting is for and what you'll have at the end. Add a short agenda and a line asking people to propose a new time instead of declining, and the meeting runs itself.

Template;ol-teams
Hi Attendees, Purpose: Purpose By the end we'll have: Outcome Agenda 1. First agenda item 2. Second agenda item 3. Next steps and owners Join with the Teams link below. If this time doesn't work, propose a new one rather than declining, so we can move it.
Then type ;ol-teams in any app.

For clients, candidates or partners outside your Microsoft 365 organisation.

External guests
Hi Attendees, Looking forward to talking about Purpose. You can join from the Teams link below in your browser; you don't need the Teams app or a Microsoft account. You may wait in the lobby for a moment before I let you in. [Your name]

For a 15-minute recurring catch-up, where a full agenda is too much.

Quick check-in
15 minutes on Purpose. Bring one update and one blocker. If there's nothing to discuss, I'll cancel the day before.

When to use it

  • You're sending an Outlook invite with a Teams link to more than two people.
  • The meeting has a decision to make and people need to arrive prepared.
  • You're inviting people from outside your organisation who may not use Teams.

What to avoid

  • Don't type over or delete the Teams join block Outlook inserts. Put your text above it.
  • Don't write an agenda for a meeting that could be an email. If the outcome line is "share an update", send the update.
  • Avoid more than four agenda items in a 30-minute meeting.

Tips

  • •Click Teams meeting first, then put your cursor at the very top of the body and type ;ol-teams, so the join details stay underneath.
  • •Make the check-in variant a per-app snippet: in Teams chat, the same trigger can paste a one-line version.
  • •For recurring meetings, edit the series once with the agenda; Outlook copies it into every occurrence.

Works in Outlook, Microsoft Teams and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Questions

What should I write in a Teams meeting invite?

The purpose, the outcome you want, and a short agenda, above the Teams join block. That's enough for people to decide whether to come and how to prepare.

How do I add a Teams link to an Outlook invite?

Create a new event in Outlook's calendar and turn on Teams meeting (or click the Teams meeting button). Outlook adds the join details to the invite for you.

Can people without Teams join a Teams meeting?

Yes. Guests can join from the link in a web browser without the app. They may wait in the lobby until someone admits them.
