Google Meet invite email templates

Most Meet invites go out as a calendar event with a link buried in it. When someone asks "what's the link?" in a thread, the reply should confirm the time, give the link on its own line, and head off the two questions people ask on the day: do I need to install anything, and why am I stuck on "Ask to join". Copy the Meet link, type the trigger, and the link drops in from your clipboard.

Template;gm-meet
Hi Name, Here's the link for our call on Day and time: Clipboard It's a Google Meet link, so on a computer it opens in your browser with nothing to install. If the calendar invite has a dial-in number, you can join by phone too. See you then, [Your name]
Then type ;gm-meet in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

For Google Chat, Slack or a text, where the person just needs the link.

Short (chat)
Here's the Meet link for Day and time: Clipboard

For people outside your Google Workspace, who often land in the waiting room.

External guest
Hi Name, Looking forward to Day and time. Join here: Clipboard You don't need a Google account. If you see an "Ask to join" screen, click it and I'll let you in within a minute. If the link gives you any trouble, reply to this email and I'll call you instead. [Your name]

When to use it

  • Someone asks for the meeting link in an email thread instead of the calendar invite.
  • You're meeting a client or candidate who isn't on Google Workspace.
  • You set up an instant meeting and need to send the link quickly.

What to avoid

  • Don't type the trigger before copying the link, or {clipboard} will paste whatever you copied last.
  • Don't send a Meet link in place of a calendar invite for anything recurring. People need the event in their calendar.
  • Avoid putting the link in the middle of a sentence. On its own line it's easy to tap on a phone.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

Name{fill:Name}
The guest's first name.
Day and time{fill:Day and time}
Include the time zone if you're not in the same one: "Tuesday at 3pm UK time".
Clipboard{clipboard}
Pastes whatever you last copied, such as an order number or a link, into that spot.

Tips

  • •In Google Calendar, open the event and use the copy button next to the Meet link, then type ;gm-meet in your reply.
  • •If you have a standing personal meeting link, put it straight into your own copy of the snippet instead of {clipboard}.
  • •Make the chat variant a per-app snippet on the same trigger: one line in the Slack app, the full email everywhere else. Google Chat in a browser tab counts as the browser, so it gets the full version.

Works in Gmail, Google Chat, Slack and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Questions

How do I send a Google Meet link by email?

Copy the link from the Calendar event or from Meet itself, then paste it into your email. With Retext, copy it and type ;gm-meet: the link drops into a ready-written reply.

Do guests need a Google account to join Meet?

No. People without a Google account can join from the link in a browser, though they may need to ask to join and be admitted by someone in the meeting.

What should a meeting link email say?

The day and time with time zone, the link on its own line, and what to do if it doesn't work. That covers nearly every question guests ask before a call.
