Discovery call confirmation email templates

Booked calls get missed when the confirmation is just a calendar invite. This email confirms the time, gives a three-point agenda, and asks one question so the prospect arrives thinking about their problem instead of wondering who you are. The morning-of version keeps no-shows down without nagging.

Template;sl-confirm
Hi First name, Confirming our call on Call date at Call time. Here's the link: Meeting link What I'd like to cover: 1. How Company handles Problem today 2. What you'd want to change 3. Whether we're a fit, and if not, who might be One thing to think about beforehand: See you then, ;sig-work

The same message for a different channel or tone. Copy the one that fits.

Morning-of reminder
Hi First name, looking forward to our call at Call time today. Link: Meeting link If something's come up, just reply with a better time.

When the prospect is bringing colleagues. Asks who's coming so you can prepare.

Several attendees
Hi First name, Thanks for setting this up for Call date at Call time. Link: Meeting link Who else will join, and what does each of them most want to get out of it? I'll shape the time around that. ;sig-work

When to use it

  • Right after a prospect books a first call, as a follow-up to the calendar invite.
  • The call is more than a day away and could slip.
  • The prospect mentioned bringing a colleague you haven't met.

What to avoid

  • Don't send a 10-point agenda. Three items is a conversation; ten is a presentation.
  • Don't ask them to fill in a questionnaire before the call.
  • Don't send the reminder version more than once.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

First name{fill:First name}
The prospect's first name.
Call date{fill:Call date}
Day and date, e.g. "Thursday, May 6".
Call time{fill:Call time}
Time with time zone, e.g. "2pm ET".
Meeting link{fill:Meeting link}
Your Zoom, Meet or Teams link.
Company{fill:Company}
The prospect's company name.
Problem{fill:Problem}
The problem they mentioned when booking.
Cursor{cursor}
Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
;sig-work{snippet:sig-work}
Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.

Tips

  • •The "whether we're a fit, and if not, who might be" line makes it safe for them to be honest.
  • •Write the one question at {cursor} from what they told you when they booked.
  • •Keep the reminder version short enough to read on a phone, since that's where most people see it.

Works in Gmail, Outlook, HubSpot, Salesforce and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

A shared agenda format means a manager joining any rep's call knows the structure. Keep it in the team pack and change it in one place.

Questions

Should I send an agenda before a discovery call?

Yes, a short one. Three items tells the prospect what to expect and signals that you'll respect their time. It also makes it easy for them to add something.

How do I reduce no-shows for sales calls?

Confirm in writing soon after booking, give them something to think about, and send one short reminder on the day with the link at the top and an easy way to reschedule.
