Breakup email templates for sales

A breakup email ends the follow-up sequence honestly: you're going to stop writing, and here's how to reach you later. Done well, it often gets a reply because it removes the pressure. This version avoids the sarcastic "have you been eaten by a bear?" style and simply closes the file, with a date you'll check back.

Template;sl-breakup
Hi First name, I haven't heard back, so I'll assume Topic isn't a priority right now, and I'll stop following up. If that changes, reply to this email and I'll pick it up from where we left off. Otherwise I'll check in around Check-back month in case things have moved. Thanks for your time on this, ;sig-work
Then type ;sl-breakup in any app.

Variations

The same message for a different channel or tone. Copy the one that fits.

When you have a resource that helps even if they never buy.

Leave something useful
Hi First name, I'll stop following up on Topic. Before I do, here's the guide I mentioned, in case it's useful whatever you decide: Clipboard If it becomes a priority later, you know where I am. ;sig-work

When they chose someone else or the project was cancelled, and you want to end well.

Deal is over
Hi First name, Understood, and thanks for letting me know. I'll close this on my side. One small ask: if you can share what made the difference, it would help us improve. A sentence is plenty. Good luck with Topic. ;sig-work

When to use it

  • After two or three follow-ups with no reply.
  • You want to clear the deal from your pipeline honestly.
  • A prospect told you they've gone another way.

What to avoid

  • Don't be sarcastic or guilt-trip. "I guess you're not interested in saving money" burns the relationship.
  • Don't write a breakup email after one unanswered email.
  • Don't keep emailing after it. Mean it.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

First name{fill:First name}
The prospect's first name.
Topic{fill:Topic}
What you were discussing, e.g. "the support tooling project".
Check-back month{fill:Check-back month}
When you'll try again, e.g. "September".
;sig-work{snippet:sig-work}
Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
Clipboard{clipboard}
Pastes whatever you last copied, such as an order number or a link, into that spot.

Tips

  • •Naming a check-back month makes the end feel temporary, which is usually true.
  • •Log the check-back month in your CRM so the re-engagement email actually goes out.
  • •Copy your guide's link first so {clipboard} adds it to the door-open version.

Works in Gmail, Outlook, HubSpot, Salesforce and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Agree as a team when a deal gets the breakup email, and keep one wording in the shared pack. It stops individual reps from inventing their own, sometimes snarky, versions.

Questions

What is a breakup email in sales?

The last email in a follow-up sequence, telling a quiet prospect you'll stop writing and how to pick things up later. It's a courtesy that also tends to prompt a reply.

Do breakup emails actually work?

They often get a response because they remove pressure: the reader can say "not now" or "actually, yes" without feeling chased. Keep it polite so the door stays open.
