Closed-lost email templates

How you handle a loss decides whether you get a second chance. This email thanks the buyer for their time, asks for one sentence about why, and wishes them well, with no attempt to reopen the deal. The no-decision version is for deals that ended because the project stopped, not because a competitor won.

Template;sl-lost
Hi First name, Thanks for letting me know you've gone with Competitor. I appreciate you taking the time to evaluate us. If you're open to it, one sentence on what made the difference would help us a lot. No sales follow-up, I promise. I hope the rollout goes smoothly. If anything changes, you know where I am. ;sig-work

Variations

The same message for a different channel or tone. Copy the one that fits.

When the project was paused or cancelled rather than lost to a competitor.

Project stopped
Hi First name, Sorry to hear Project is on hold. That's often the right call when priorities shift. I'll close this on our side. If it starts again, reply here and we'll pick up from where we left off, including the pricing we discussed. ;sig-work

A light check-in months after the loss, when contracts start coming up for review.

Six months later
Hi First name, it's been a while since you chose Competitor. How's it working out? No agenda, just curious whether it's doing what you needed.

When to use it

  • The prospect told you they chose another vendor.
  • The project was paused or cancelled.
  • Several months have passed and their first contract term is ending.

What to avoid

  • Don't try to reopen the deal in this email.
  • Don't ask for a long feedback call. One sentence is enough.
  • Don't criticise the vendor they chose.

The fields in this template

Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.

First name{fill:First name}
The buyer's first name.
Competitor{fill:Competitor}
The vendor they chose.
;sig-work{snippet:sig-work}
Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
Project{fill:Project}
The project that stopped.

Tips

  • •Collect the feedback sentences somewhere the whole team can see them. Patterns show up quickly.
  • •Keeping the pricing you discussed in the no-decision version removes a reason to start over with someone else.
  • •The six-month check-in pairs well with ;sl-reengage if they reply.

Works in Gmail, Outlook, Salesforce, HubSpot and every other app

Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.

Use it with your team

Share one closed-lost template so every rep loses the same way: politely and with a feedback question. Collect the answers in a shared doc for the team review.

Questions

What should I say when I lose a deal?

Thank them, ask for one sentence of feedback, and wish them well. Leaving on good terms is what makes a future conversation possible.

Should I ask why I lost a deal?

Yes, briefly. A one-sentence question with a promise of no sales follow-up gets far more honest answers than a request for a call.
