Trade show and event follow-up email templates
After an event, everyone sends the same "great to meet you" email, so the ones that get replies remind the reader who you are and what you talked about. This template does both in the first two lines, then suggests one small next step. The booth-scan version is for badge scans where you didn't really talk.
;sl-event;sl-event in any app.Variations
The same message for a different channel or tone. Copy the one that fits.
When they stopped by the booth but you didn't have a real conversation.
For people who attended a webinar or online event.
When to use it
- Within a couple of days of a trade show, conference or meetup.
- You have badge scans but no real conversations to refer to.
- After a webinar, with the recording to share.
What to avoid
- Don't wait a week. By then they've had dozens of these.
- Don't send the same email to everyone you met. Refer to your conversation.
- Don't treat badge scans like warm leads. Use the lighter version.
The fields in this template
Retext fills these in when the snippet expands. In plain text they become [brackets] to replace by hand.
- First name
{fill:First name} - Their first name.
- Event name
{fill:Event name} - The event's name.
- What you discussed
{fill:What you discussed} - The topic of your conversation.
- Where you met
{fill:Where you met} - Where you met, e.g. "the coffee line" or "our booth".
- Cursor
{cursor} - Where your cursor lands after the snippet expands, so you can start typing the personal part straight away.
- Similar customer
{fill:Similar customer} - A customer they'd see as a peer. Only names you're allowed to share.
- ;sig-work
{snippet:sig-work} - Pulls in your ;sig-work snippet, so a change to that snippet updates every reply that uses it. Create a snippet with that trigger first (any template in the email signatures pack works), or the field stays as typed.
- What you showed
{fill:What you showed} - What was on display at your booth.
- Clipboard
{clipboard} - Pastes whatever you last copied, such as an order number or a link, into that spot.
- Question from the session
{fill:Question from the session} - A common question from the webinar.
- Company
{fill:Company} - Their company name.
Tips
- •Take a note on your phone after each conversation; that note becomes {fill:What you discussed}.
- •Dictate the follow-ups on the way home: say "insert snippet sl-event" (a beta voice command) and talk through the fill-ins.
- •Copy the recording link once, then {clipboard} fills it into every webinar follow-up.
Works in Gmail, Outlook, LinkedIn, HubSpot and every other app
Retext types the snippet wherever your cursor is. To use a different version in one app, give it the same trigger and limit it to that app with per-app snippets. They go by app, not website, so every tab in your browser counts as one app.
Before an event, push the follow-up templates to everyone working the booth through the team pack. The whole team follows up the same way.

When should I follow up after a trade show?
Within one or two business days, while they still remember the conversation. Waiting a week puts you in a pile of identical emails.
What should a trade show follow-up email say?
Remind them where you met and what you talked about, add one relevant detail, and suggest one small next step. Keep the badge-scan version lighter.
